Built by a general agency · for the agencies we work with

Place the case.
Keep the visibility.

Most of what an agency dislikes about working through a General Agency partner is not the work; it's the silence after the handoff. So we built our own platform: CRM, project management, enrollment staffing, client communications, e-signatures, surveys, and a partner portal that lets you watch your own book move through the plan year.

The plan year Six phases

Every tool below is pinned to where it acts in this cycle

InSights · the partner portal

All six phases, from your side of the desk.

InSights is the one part of the platform built for you rather than for us. You log in and see only the groups you're tied to — as the broker, the account manager, or both — in a read-only view that pulls live from the same records our team works in. Not a report someone exports on Friday. The actual state of your book.

01

Progress without noise. Current phase, percent complete, and the next milestone with its date. Not our internal step list, not our staff's names on tasks.

02

Enrollment at a glance. Booked and available appointments across the OE window, broken out by location.

03

Communications. What went out to employees, what's scheduled next, and what delivered.

04

Client sentiment. Survey results by plan year, with the co-branded report ready to forward.

05

Walled off, by design. Scoping is a security boundary, not a filter. You can view and drill in. You can never edit, check anything off, or see another agency's data.

The handoff problem

The difference isn't what gets done. It's whether you can see it.

Every general agency will tell you the work gets handled. Fewer can show you. Here is what typically follows a placement, and what we replaced it with.

The usual experience What our partners get instead

You email your rep to find out where a case stands, then wait.

A partner login shows current phase, percent complete, and the next milestone with its date — for every client you're tied to.

The plan-year checklist lives in one person's head, or in a spreadsheet only they open.

A 51-step playbook generates automatically when a case is sold, routes each step to a named owner, and chases them on a schedule.

Enrollment staffing is a name and a promise.

Enrollers carry a graded record: state licenses and carrier appointments, E&O currency, product certifications, spoken languages, and which enrollment platforms they've actually worked.

Service issues go into somebody's inbox and are tracked by memory.

Billing, eligibility, claims, EOI, and 834 issues are logged against the client, routed to that client's service owner, and tracked to close.

Renewal season starts from scratch every year.

Each plan year is archived intact — documents, communications, survey results, commissions — and the next cycle rolls forward from it.

You hear from your GA when they need something.

Partner outreach is a tracked obligation with a cadence, not a good intention. Gaps in coverage surface to management.

The suite, in sequence

Fourteen tools, arranged the way a plan year actually runs.

We didn't set out to build a software company. We built each of these because something in our own book broke without it. They share one database, one login, and one client record — which is why they compound.

01
Quote & sold

The case becomes a record before it becomes work.

A sold case enters as a structured client record — agency, broker and account-manager contacts, service model, effective date, open-enrollment window, funding basis, assigned consultant. Everything downstream reads from that one row, so nothing is re-keyed and nothing drifts.

BennieClients CRM
The client and partner spine — groups, agencies, contacts, quote pipeline, renewals, and the consultant who owns each relationship.
BennieSign e-sign
Enrollment services agreements and fee MOUs generated from templates with the case's own terms merged in, then signed in place.
Licensing & Appointments
Our entity licenses and carrier appointments by state, with expiry alerting — so a case is never written where we aren't current.
02
Onboarding & implementation

A 51-step playbook, generated the moment a case is sold.

JourneyPM is the project-management spine. The playbook expands into dated tasks against the client's real effective date and OE window, routes each to the role that owns it — sales, implementation, client services, enrollment — and reminds them until it's done. Nobody decides what happens next; the journey already knows.

JourneyPM core
Per-client journeys with phases, milestones, owners, subtasks, and a health view. Cycles are segmented by plan year and roll forward at renewal.
Service Tasks
Ad-hoc requests — billing, eligibility, claims, carrier EDI, EOI, enrollment changes — logged alongside the journey and auto-routed to the client's service owner.
DriveBrowser
The client's document folder, browsable and uploadable from inside the client record, organized by plan year. No separate portal, no attachment sprawl.

03
Staffing the enrollment

You get to know who is standing in front of your client's employees.

Enrollers apply through a self-service packet — licenses, appointments, E&O, certifications, voided check, signed agreements — and land as a graded, searchable record. When we staff your group, we're filtering on state, language, product certification, platform experience, travel willingness, and how they've performed for us before.

Enroller Onboarding
A public intake wizard with document upload and e-signature that feeds an internal applications inbox — no paper packet, no staff re-keying.
Enroller Records
Grades, license and appointment status by state, E&O currency with expiry warnings, spoken languages, and a systems-proficiency matrix per enrollment platform.
OE Scheduler
Enrollment locations, capacity, and appointment slots — booked versus available, per site, across the whole OE window.

04
Open enrollment

The busiest six weeks of the year, run off one board.

Employee communications go out on a schedule with delivery tracked, appointments fill against real capacity by location, and enrollment execution is a phase of the journey rather than a scramble. Your rep isn't reconstructing status from memory when you call — it's on the screen.

BennieBlast
Scheduled employee communication campaigns per client, with what has sent, what's queued, and what actually delivered.
OE Scheduler live
Slot fill by location through the enrollment window, so a site running cold is visible while there's still time to fix it.
BennieSign in-field
Templated forms and agreements signed during enrollment, filed straight to the client's document folder for that plan year.
05
Post-enrollment

We ask how it went, and we show you the answer.

Every group gets a satisfaction survey after enrollment closes, segmented by plan year so this year's result is comparable to last year's rather than blended into it. The results render as a co-branded report you can hand to the client — your logo alongside ours. Commissions and billing reconcile on the same annual clock.

BenniePulse
Post-OE client satisfaction surveys with plan-year segmentation, archived history, and a printable co-branded results report per group.
Commission Tracker
Per-client, per-plan-year commission modeling against the live enrollment data, with a real reconciliation once twelve months of actuals are in.
Billing Reconciliation
Invoicing and payment reconciled against the accounting system, so fee-basis and commission-offset arrangements both close cleanly.
06
Service year & renewal

The eleven months nobody markets to you about.

Between enrollments is where a general agency is actually judged. Service requests are tracked to close. Correspondence with you and with carriers is logged against the record automatically, so the history survives a rep changing roles. And our obligation to stay in touch with you is enforced by the system, not left to whoever happens to remember.

BennieMail
Partner and carrier correspondence written from and logged to the client record, attributed to the rep who sent it. Only matched partner threads are ever stored.
Partner Cadence
A monthly outreach mandate per agency and region, with overdue flags and a coverage-gap report that surfaces any partner contact nobody owns.
Book Continuity
When a consultant leaves or changes territory, their book is reassigned agency by agency — clients, prospects, documents, and outreach obligations move together. Nothing is orphaned.
Why we built it ourselves

No off-the-shelf system knows what a general agency does all day.

It was built from our own book

Every tool here started as a failure in our own process — a step someone forgot, a document nobody could find, a partner nobody had called in four months. We didn't buy a platform and bend our work to fit it.

One record, not fourteen integrations

The CRM, the project spine, enrollment, communications, documents, surveys, and billing all read the same client row. That's why a change in one place is true everywhere, and why the partner portal can be live rather than exported.

It changes when you ask

Because we own the code, a partner's request isn't a support ticket into somebody's roadmap. Several of the features on this page exist because an agency we work with said the current way was worse.

Next step

Bring a group and we'll walk it through the year.

The fastest way to judge any of this is to watch a case you know move through it. We'll set you up in InSights, show you what your view looks like, and let you decide whether it's the visibility you've been missing.
